Sharing Settings
How to map your suppliers from Axiom to your procurement system.
What are Sharing Settings?
Sharing Settings are essential connections that ensure your purchase orders are sent to the correct suppliers when you shop through our marketplace. Think of them as digital address labels that route your orders to the right destination.
Why Sharing Settings Matter
When you "punch out" from your procurement system (like SAP, Oracle, Coupa, etc.) to shop in our marketplace, you need a way to ensure that when you check out, your procurement system knows:
- Which supplier should receive the order
- How to identify that supplier in your system
- Which contract terms apply to the purchase
Sharing Settings solve this problem by providing the critical information needed to connect your shopping experience with your procurement system's supplier records.
How Sharing Settings Work
Behind the Scenes
When you check out after shopping in our marketplace, the system needs to send specific information back to your procurement system:
- Supplier Identifier: The unique code that identifies the supplier in your procurement system
- Vendor Number: Your organization's specific code for the supplier
- Contract Number: The specific contract that applies to this purchase
Without these details, your procurement system wouldn't know which supplier should receive the purchase order or which contract terms to apply.
The Mapping Process
When you punch out: Your procurement system sends information about your session, including your user details and any custom fields needed for proper routing.
During shopping: As you add items to your cart, the system tracks which suppliers provide those items.
At checkout: The system uses Sharing Settings to:
- Look up the correct supplier information based on your user profile and the store you're shopping in
- Match your procurement system's requirements with our supplier records
- Include the proper vendor and contract information with each item in your cart
Return to procurement: When you return to your procurement system, all items include the correct supplier identifiers, vendor numbers, and contract numbers.
Benefits of Sharing Settings
- Accurate Order Routing: Ensures purchase orders are sent to the correct supplier
- Contract Compliance: Applies the right contract terms to your purchases
- User-Specific Routing: Can route orders differently based on user departments, locations, or other attributes
- Custom Field Support: Accommodates organization-specific requirements for supplier identification
Setting Up Sharing Settings
Sharing Settings are configured by administrators and typically include:
- Store and Supplier Association: Connecting suppliers in our system to your procurement system
- Vendor and Contract Numbers: Your organization's specific identifiers for suppliers and contracts
- User Conditions: Optional rules that determine which mappings apply to specific users or departments
- Custom Fields: Additional information required by your procurement system
Once properly configured, Sharing Settings work seamlessly in the background, ensuring that your shopping experience connects smoothly with your procurement processes.
Summary
Sharing Settings are the critical link that ensures your procurement system can properly process orders from our marketplace. By providing the correct supplier identifiers, vendor numbers, and contract numbers, they enable a seamless connection between shopping and purchasing, ensuring that your orders reach the right suppliers under the right terms.
